(“IPA,” “we,” “us,” or “our”) operates the My Independent Agent (“MIA”) platform, including the MIA Agent Portal, recruiting website, and related services (collectively, the “Platform”). This Privacy Policy explains how we collect, use, disclose, and protect your personal information.
By using the Platform, you consent to the practices described in this Privacy Policy.
2. Information We Collect
2.1 Information You Provide
- Account Information: Name, email address, phone number, mailing address
- Professional Information: Insurance license numbers, NPN, states of licensure, license type, line of authority, license expiration dates
- Financial Information: Bank account details (processed securely through Stripe — we do not store full bank account numbers)
- Communication Preferences: SMS opt-in/opt-out status, email preferences
2.2 Information Collected Automatically
- Usage Data: Pages visited, features used, time spent on the Platform
- Device Information: Browser type, operating system, device type, screen resolution
- Log Data: IP address, access times, referring URLs
- Cookies: Session cookies for authentication and preferences (see Section 7)
2.3 Information from Third Parties
- Stripe: Payment status, payout confirmations, onboarding completion status
- VIU by HUB: Referral lead status, policy status (we receive aggregated data — client personal information is not stored in MIA systems)
- Twilio: SMS delivery status
3. How We Use Your Information
- Operate the Platform: Create and manage your account, process commissions, provide Portal access
- Process Payments: Calculate commissions, initiate Stripe payouts, generate statements
- Communicate With You: Send account notifications, commission updates, compliance alerts, and program announcements via SMS and email
- Ensure Compliance: Verify license status, monitor for fraudulent activity, maintain regulatory compliance
- Improve the Platform: Analyze usage patterns, fix bugs, develop new features
- Marketing: Send information about MIA resources, tools, and program updates (with your consent)
4. How We Share Your Information
We do NOT sell your personal information. We share information only in the following circumstances:
4.1 Service Providers
We share information with trusted service providers who assist in operating the Platform: Stripe (payment processing), Twilio (SMS delivery), Supabase (database hosting, encrypted at rest), and Vercel (website hosting). These providers are contractually obligated to use your information only for the services they provide to us.
4.2 Legal Requirements
We may disclose your information if required by law, regulation, legal process, or governmental request.
4.3 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. You will be notified of any such change.
5. Data Security
- Encryption: All data is encrypted in transit (TLS/SSL) and at rest
- Access Controls: Role-based access limits who can view sensitive information
- PII Protection: Personally identifiable information is encrypted at the database level
- Session Security: Admin and agent sessions expire after 8 hours
- Secure Payments: All financial data is processed through Stripe's PCI-compliant infrastructure
No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Data Retention
- Active Accounts: Retained for as long as your account is active
- Terminated Accounts: Retained up to 7 years after termination for tax, legal, and regulatory compliance
- Commission Records: Minimum 7 years per IRS requirements
- Communication Logs: SMS and email logs retained for 3 years
7. Cookies & Tracking
The Platform uses essential cookies required for authentication and session management. We may use privacy-respecting analytics to understand Platform usage. We do NOT use third-party advertising cookies, cross-site tracking, or behavioral advertising.
8. Your Rights
- Access: Request a copy of your personal information
- Correction: Update or correct inaccurate information
- Deletion: Request deletion of your personal information (subject to legal retention requirements)
- Opt-Out: Unsubscribe from marketing communications
California Residents (CCPA): You have additional rights including the right to know what personal information is collected, right to delete, right to opt out of sale (we do not sell personal information), and right to non-discrimination.

10. SMS & Communication Policy
- Types: Transactional (verification codes, commission notifications), informational (program updates), and marketing (promotional content)
- Frequency: 2-10 messages per month based on account activity
- Opt-Out: Reply STOP to any SMS. Click “Unsubscribe” in any marketing email.
- Costs: Message and data rates may apply
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or Portal notification at least 30 days before taking effect.
